Main Description
| The SIPOC helps us to clearly understand the purpose and scope of a process. This includes defining who or what the
suppliers are, the inputs and outputs, the general flow of events and the customers. |
Steps

Elicit information
Schedule the workshop during the initiation phase. When possible, encourage participants to take part in person. For
workshops involving multiple remote participants, a conference call/WebEx session may be more effective.
Invite project team members, stakeholders and SME (subject matter expert). It is helpful to have a separate scribe and
facilitator for the meeting.
Ask probing questions.
Identify processes.
Identify outputs.
Identify inputs.
Identify customers.
Identify suppliers.
Repeat the process to verify and probe participants for further information.

Document the information
For workshops facilitated in person, use whiteboards or flipcharts to record outcome of discussion.
For workshops with remote participants (or a mixture of remote and face to face), a laptop, conference call and WebEx
session should be used.
After the meeting, transfer the recorded outcome into the SIPOC template.

Send SIPOC to meeting participants for review and feedback
Publish the draft version of the SIPOC to the project SharePoint site.
Send a link to the SIPOC via email along with a request that participants review and provide revisions. |
Finalize and publish the SIPOC
Revise SIPOC with any proposed changes.
Publish the SIPOC on the project SharePoint site labeling it as a final version. |

Key Considerations
Use the following descriptions to assist when populating the SIPOC template:
Suppliers: Who or what functional organization, system, report, database, etc., supplies or provides
whatever it is that is needed as an input to this.
Inputs: What data, supplies, system, tools, etc., are required for this activity, or who is needed to
perform the action?
Process: 5 - 7 high level process steps that bound the process end to end.
Outputs: What information, data, report, eligibility status, etc., comes out of this activity or is
produced as a result of this activity?
Customers: Who or what receives whatever it is that comes out of this activity?
